General Terms & Conditions

The Stanhope Weekender Music Festival, (“The Event”), is managed by Weekender Events Ltd (“The Organisers”). The Terms and Conditions herein (“Terms”) govern the relationship between any Ticket Holder (“You”) and Weekender Events Ltd. All stipulations mentioned on this website are to be construed in conjunction with any other notices or directives present on the ticket or visibly displayed within the venue. If any of these Terms are unclear, please contact The Organisers for guidance or clarification.

The Organisers reserve the right to amend the Terms in accordance with any new laws, legislation, or internal company policies. Possession of an officially issued ticket by The Organisers signify the Ticket Holder’s unequivocal acceptance of, and commitment to adhere to, the Terms, Conditions, and Advisories set forth herein.

Should there be a contravention of these Terms by The Organisers, they shall not bear liability for any unforeseeable consequential loss, damage, cost, or expense emanating from said breach. The Organiser, its agents, or representatives shall not be responsible for any injury, loss, or damage to any individual or property.

The Organisers retains the unequivocal right to modify the artist line-up, performance durations, or other facets without issuing a prior notification. Any indicated start or end times of performances are provisional and amendable, with no liability on The Organisers for any variations.

By participating in The Event, Ticket Holders explicitly authorise the use of their real or simulated likeness in any media format to be used for promotional materials, with all associated rights being vested in The Organisers or their designated entities, without any requisite for remuneration. This also includes CCTV and filming by the police and/or security staff.

Ticket Holders are prohibited from introducing, exhibiting, or distributing any promotional, sponsorship, or marketing materials. Any commercial or promotional activities within the venue necessitate prior approval from The Organisers.

The Organisers preserve the right to enforce any prerequisite or condition before and during The Event to ensure the venue’s secure management. The Organisers reserve the unequivocal right to deny entry or remove any Ticket Holder from the venue for reasons including, but not limited to, health and safety concerns, unbecoming behaviour, intoxication, non-compliance with security procedures, breach of these Terms, or possession of a void ticket.

Payment Plan Terms and Conditions

The payment plan is designed to assist Ticket Holders in distributing the cost of festival tickets over a specified period through monthly instalments. This plan is not a credit agreement but rather an instalment payment arrangement.

Eligibility: To qualify for the payment plan, you must be at least 18 years of age and possess a valid payment method. By entering into this agreement, you affirm that the payment method provided is your own and that sufficient funds or credit are available to cover the instalments as they become due.

Payment Structure: The total cost of the festival ticket(s) will be divided into equal monthly instalments, as determined at the time of purchase. The initial instalment is due at the time of booking, with subsequent instalments automatically deducted from your designated payment method on the same date each month until the total balance is paid in full.

Authorisation: You hereby authorize us to automatically charge the agreed instalments to your provided payment method. It is your responsibility to ensure that the payment method remains valid and that sufficient funds or credit are available to cover each instalment.

Non-Refundable Payments: All payments made under the instalment plan are non-refundable. By entering into this agreement, you acknowledge that once a payment is made, it cannot be returned or refunded, regardless of your attendance at the festival.

Missed Payments: In the event that any instalment payment is missed or not successfully processed, you will be notified, and the outstanding amount will remain due. You must promptly settle any missed payments to maintain the payment plan. Failure to settle the balance by the end of the agreement term will result in forfeiture of your tickets, with no refund issued for payments already made.

Cancellation: If you choose to cancel your payment plan before the final instalment is paid, any payments made will be forfeited, and the tickets associated with the plan will be cancelled. No refunds will be issued.

Amendments: We reserve the right to amend these terms and conditions at any time. Any changes will be communicated to you in writing and will take effect immediately. Continued participation in the payment plan following such notification will constitute your acceptance of the revised terms.

Festival Arena Terms & Conditions

The Organiser may deny entry to any Ticket Holder if, in its reasonable judgement, allowing such entry might compromise the safety of festivalgoers or staff, disrupt The Event, or if the Ticket Holder appears intoxicated, under drug influence, or behaves aggressively. The Organiser also reserves the right to remove a Ticket Holder without a refund.

All Ticket Holders must adhere to instructions provided by The Organiser’s Event staff and may be subject to security searches as a condition for entry. Said security searches may encompass, but are not limited to, body searches, bag inspections, and the utilisation of detection dogs, as administered by security personnel. Such searches may occur at any pertinent juncture including, but not limited to, upon initial entry to The Event, at various locations within the venue, or upon exiting the venue. This procedure is instituted as a requisite security measure to ensure the safety and well-being of all festivalgoers.

Ticket Holders are permitted to bring into the arena one (1) sealed soft drink contained within a plastic bottle, provided that the capacity of the bottle does not exceed five hundred (500) millilitres. Any other forms of liquids, gels, or lotions housed within containers that have a capacity greater than five hundred (500) millilitres is strictly prohibited, irrespective of the actual content volume within the container. The discretion on acceptable liquids rests with the security staff. The use of glass containers within the arena is strictly forbidden.

Only personal, non-commercial photography and recording equipment is allowed. The use of drones or similar devices is strictly forbidden without The Organisers consent. Smoking, including e-cigarettes, is banned in enclosed spaces or buildings, including marquees. No animals other than dogs, which must be leashed, are allowed.

Only those over 18 can buy alcohol. If you appear under 25, you may be ID-checked. Valid IDs include a current passport, UK driver’s or provisional license, VALIDATE UK, and CitizenCard. Purchasing alcohol for minors is illegal and will not be tolerated. Only alcoholic beverages bought from the arena bar are allowed. Unauthorised possession of alcohol will not be tolerated and may result in immediate removal from the arena.

Items deemed potential weapons or those that could pose harm, offence, or disturbance to others must be turned over to staff. Damaging the venue, its infrastructure, or harming others may result in legal action. Persons possessing unlawful items or engaging in illicit activities will be reported to the authorities and may be denied entry or removed from the venue.

Ticket Holders are advised that extended exposure to loud music during The Event can potentially damage hearing. Additionally, various performances may incorporate elements such as pyrotechnics, lasers, smoke machines, or strobe lighting. Since The Event will take place outdoors, The Organisers recommend festivalgoers dress appropriately to accommodate any kind of weather condition.

Festival Arena Banned Items:

  • Any substances or items that are illegal under local law, including new psychoactive substances (NPS).
  • Any item that may be considered a weapon or cause danger, offence, or disruption.
  • Any Fireworks or Pyrotechnics: This includes flares, smoke bombs, sparklers, projectiles, and any other pyrotechnic devices.
  • Aerosols, airhorns, megaphones, laser pens, balloons, barbecues, bicycles, blowtorches, gas canisters, gazebos, glass items, Sky or ‘Chinese’ lanterns, sound systems, spray cans, high-visibility reflective jackets, generators, petrol burners, flammable spirits, drones, liquids over 500ml.
  • Any goods for unauthorised trading or with unauthorised Event or artist logos.
  • Professional Photography/Recording Equipment: Unless authorised in advance.
  • Political Items: To keep the environment neutral and inclusive, items promoting political messages are not allowed.
  • Pets: Only well behaved, leashed dogs are permitted subject to our specific dog policy.

Please note that this is not an exhaustive list and may be subject to change. If medical conditions necessitate you to bring specific food, drinks, or medication, please make this known to security staff and provide appropriate medical documentation. Resisting the surrender of banned items or breaching these conditions may lead to removal from The Event. Confiscated items will neither be returned nor stored.

SWMF Dog Policy

This policy aims to foster a friendly atmosphere for all festivalgoers. Failure to adhere may lead to refused entry or removal from The Event. The festival’s administrative and security personnel hold the authority to make determinative decisions about the admittance or removal of any dog.

Only breeds of dogs identified as non-aggressive are allowed entry. The Organisers retain the discretion to refuse entry to breeds known for aggressive tendencies, intimidating behaviours, or those with a documented history of such actions.

Dogs shall remain leashed at all times within the venue boundaries including the campsites. Leashes used must not be longer than 6 feet. Dogs shall not be left unsupervised on any occasion. Dogs must exhibit good behaviour, refraining from aggression and excessive noise. Any Ticket Holder with a dog deemed aggressive or disruptive will be instructed to vacate the venue.

Owners are obligated to promptly clean up after their dogs. Failure to address clean-up duties may lead to removal from The Event. Dogs should possess current vaccinations and it is advisable for dogs to wear identification tags displaying the owner’s name and contact information. Owners must ensure their dogs always have access to clean water. In elevated temperatures, owners are advised to provide shade for their canines. Owners bear sole responsibility for any damage or harm inflicted by their dogs.

SWMF Young Person(s) Policy

Individuals below the age of 18 (“Young Persons”) are prohibited from purchasing tickets or attending The Event unaccompanied. Any Young Person must be escorted by an adult Ticket Holder aged 21 or above at every section of The Event, including but not limited to campsites, arena, toilets, showers, and other associated zones. A single adult Ticket Holder may accompany a maximum of three Young Persons.

The Event is appropriate for festivalgoers of all ages, provided they are adequately supervised. Children aged 4 and below are allowed, however, The Organisers strongly advise parents and guardians to be mindful of the potential harm from elevated noise levels and to take necessary precautions to safeguard hearing. The Organisers encourage guardians to write their phone numbers on the wristbands of Young Persons in their care.

Should you appear to be under 25 years of age and accompanying Young Persons, be prepared to present valid identification upon request. The Organisers disclaim any responsibility or liability for the care and supervision of individuals below 18 years of age.

Ticket Terms & Conditions

Tickets should not be acquired from unauthorised street traders or touts. Only tickets purchased from The Event’s official ticket agents are guaranteed to be valid for entry. The Organisers do not offer wristbands for sale, and only wristbands provided by The Organisers in lieu of a valid ticket will be recognised. The Organisers accept no liability for lost, stolen, or destroyed tickets. Ticket safekeeping rests with the Ticket Holder.

Tickets may not be resold or transferred. If a ticket is resold, transferred, advertised for profit, or used for competitions, promotions, or hospitality packages by anyone other than The Organisers or an authorised sub-agent, it will be voided, and the holder will be denied entry or removed from the venue without a refund.

If you have a spare extra ticket, refrain from listing it on unauthorised auction platforms or selling it to ticket touts or unauthorised online agencies. Reselling in this manner could deny the buyer entry under these Terms. The Organisers reserve the right to cancel any ticket order that is believed purchased fraudulently, such as via credit card fraud.

There may be a cap on the number of tickets one can buy per person, credit card, or household. Any such limits will be communicated by our ticket agents and on our website before your purchase. The Organisers hold the right to cancel orders that exceed this limit.

Tickets acquired in violation of these Terms will be considered null and void. The Organisers can deny entry or remove you from the venue if you possess such a ticket. Using a void ticket to gain or grant entry will categorise the individual as a trespasser, subjecting them to removal from the venue and potential legal action. Void tickets will not be refunded.

There are a limited number of Tickets (and different types of Tickets) available and therefore purchase of Tickets is strictly subject to availability. Ticket pricing and availability are subject to alterations without any preceding notice.

For best practices on securing authentic tickets, refer to the guidelines below. These guidelines are not comprehensive, but they offer general precautions against unauthorised ticket purchases.

  • Avoid purchasing from unofficial ticket agents, internet auction sites, or social media platforms like Facebook.
  • If you reside in the UK, do not purchase from websites that display overseas office addresses or those without a visible registered address.
  • Refrain from purchasing tickets from individuals or touts, whether before or at the venue.

Cancellation Terms & Conditions

Refunds are granted only in the case of a complete Event cancellation or under exceptional circumstances as solely determined by The Organisers. A ‘complete Event cancellation’ refers to the entire Event being cancelled without being rescheduled. If only certain days of The Event are cancelled, a proportional refund may be provided. Any ‘exceptional circumstances’ are at the discretion of The Organisers. Refund requests must be submitted at the purchase point no later than three months post-Event. Refunds are restricted to the ticket’s face value.

‘Force Majeure’ refers to unforeseen circumstances beyond The Organiser’s control, which includes but is not limited to natural disasters, war, insurrection, riots, acts of terrorism, fire, explosion, flood, periods of mourning, theft of essential equipment, malicious acts, strikes, lockouts, adverse weather conditions, governmental acts, or regulations. In the event of a ‘Force Majeure’, The Organisers are not obligated to perform any duty stipulated in these Terms and Conditions.

The Organiser will not be responsible for any indirect or consequential losses or expenses that you may incur in relation to The Event or its cancellation, regardless of how they arise. This includes, but is not limited to, personal travel, accommodation, hospitality arrangements, loss of profits, expected savings, business opportunities, reputation, or any other non-direct economic losses. Neither the authorised ticket agent nor the Organiser is liable for lost enjoyment or wasted expenses. Any personal arrangements made by you, are at your risk.

Campsite Terms & Conditions

Access to the camping area is contingent upon the purchase of a valid camping entry Ticket. Ticket Holders must ensure they have purchased the correct ticket for their chosen campsite (i.e., Unthank Park or Castle Park).

Ticket Holders must only set up tents within specified camping zones. Prohibited zones, such as fire lanes and operational areas, must remain clear. The Organiser retains the authority to relocate tents or accommodations to an alternative section within the venue if deemed necessary.

Ticket Holders are allowed to bring a reasonable amount of food, non-alcoholic, and alcoholic beverages for their personal use within the camping zones. Reselling is strictly prohibited. Ticket Holders are urged to consume alcohol in a responsible manner. The Organiser reserves the right to seize and dispose of any alcohol within the campsite if it is determined necessary to safeguard public or personal well-being. Any Ticket Holder non-compliant with this stipulation risks removal from The Event.

The campsite and car park shall be subject to surveillance and patrol operations conducted by security personnel however, all Ticket Holders using these facilities agree to do so at their sole risk and assume full responsibility for any loss or damage incurred to their property. The Organisers expressly disclaim all liability pertaining to potential property loss or damage that may transpire within the venue.

Ticket Holders are welcome to use barbecues (BBQs) and camping stoves, but these must be raised at least 30 cm (12 inches) off the ground. For safety reasons, open campfires are strictly prohibited. All cooking activities must be confined to the designated campground areas. Bringing barbecues or cooking equipment into the festival arena is not allowed. When cooking near tents or in crowded areas, please exercise caution and use common sense to ensure the safety of yourself and others. Do not leave hot cooking equipment unaccompanied.

Camping spots are allocated on a first-come, first-served basis. Ticket Holders are encouraged to arrive together, as The Event staff cannot reserve adjacent camping spots for late arrivals. All tents, canopies, and other structures must be adequately secured to the ground.

To ensure a peaceful environment for all campers, no noise or amplified music is permitted after midnight. For the safety of all campers, vehicle movements are not allowed in the camping areas between 11:30 PM and 7:30 AM. Excessive noise or disruptive behaviour will not be tolerated. Please be respectful of your neighbours. Shared facilities such as bathrooms, showers, and water stations should be used respectfully and left clean.

For safety reasons, there are designated separate sections for vehicles and camping areas. While you can park your vehicle near your tent, it must be within the specified vehicle section to prevent any potential interaction or accidents. No vehicles over 7.5 Tonnes are permitted.

Each group of Ticket Holders wishing to camp together will be allocated a reasonable amount of pitch space, proportionate to the number of Ticket Holders in the group. The Organisers aim to provide sufficient space for a comfortable stay while ensuring fairness for all festivalgoers. The Organiser reserves the right to deny permission for tents or structures perceived as excessively large or posing potential health and safety risks.

Ticket Holders must commit to leaving no trace of their stay and all trash must be disposed of in designated bins. Ticket Holders must wear their wristbands at all times, or they may be denied entry to the campsite.

Live-in Vehicle Terms & Conditions:

A ‘Caravan or Motorhome Pitch Pass’ gives you access to one pitch measuring approximately 8m by 7m within the designated Live-in Vehicle area. Only one of these passes is needed per pitch, however every occupant staying on the pitch must be in possession of a valid weekend camping pass for the corresponding campsite. Water and electric hook-ups are not available.

Cars, people carriers and vans are only permitted to stay on the pitch if they were used to tow a trailer/caravan and if both vehicles fit within the pitch. If this is not the case, you will be required to move the vehicle to the nearest car park.

Live-in Vehicle pitches must be filled with at least one camping vehicle. Pitches may not be used by customers camping in tents only. Live-in vehicles will only be admitted to the campsite if they are one of the following: a campervan; a motor home; a caravan; a trailer tent; a purpose-built vehicle with camping facilities within; This excludes a van with a mattress or bunk bed facility only or any other vehicle deemed to be inappropriate by The Organisers. The camping vehicle must fit within the pitch. Cars, people carriers and vans are not permitted to be slept in.

Ticket Holders with the Caravan or Motorhome Pitch Pass are permitted to erect a gazebo or purpose-built fitted awning provided that these items fit within your pitch alongside your camping vehicle(s). If you are asked by a member of staff to remove any vehicles, tents, awnings, or gazebos, you will do so immediately.

The use of large garden type furniture such as chimineas; fire pits; large wood burning stoves or any other item that is deemed to pose a risk to the safety of you or other campers is not allowed at any time. The Organisers reserve the right to confiscate these items and/or refuse entry to the campsite.

Ticket Holders with live-in vehicles are required to dispose of Blackwater and/or Greywater only in designated disposal areas. These areas are clearly marked and distributed across each campsite for ease of access. Disposing of Blackwater and/or Greywater on the ground, in toilets, or in any area other than the designated disposal points is strictly prohibited. This is to ensure environmental safety and the well-being of all festivalgoers. Any individual found violating this policy by improperly disposing of Blackwater and/or Greywater will face immediate removal from the venue.

All vehicles and belongings must be removed from the venue by 15:00 on Sunday, July 7th, 2025. Any items or vehicles left on the campsite will be removed and The Organisers reserve the right to charge any costs incurred. Please be prepared to have your vehicle(s) searched on entry to The Event. The security staff may check for any items not permitted onsite. Security staff will confiscate any such items and may refuse entry. The discretion and decision of the security team will be final.

Campsite Banned Items:

  • Any substances or items that are illegal under local law, including new psychoactive substances (NPS).
  • Any item that may be considered a weapon or cause danger, offence, or disruption. This includes flares, smoke bombs, fireworks and any other pyrotechnic.
  • Excessive quantities of alcohol.
  • Loud Music Systems or Disruptive Items: This includes Airhorns, megaphones, sky lanterns, spray cans, Drones or Laser Pointers.
  • Generators are prohibited. Additionally, carrying any type of fuel, including Petrol or Diesel, in containers not originally integrated into the vehicle’s factory design is not permitted.
  • Professional Photography/Recording Equipment: Unless authorised in advance.
  • Political Items: To keep the environment neutral and inclusive, items promoting political messages are not allowed.
  • Chimineas, fire pits, open fires, excessively large BBQs or wood burning stoves.
  • Pets: Only dogs are permitted, subject to our specific dog policy.
  • Bright, Continuous or Flashing Lights: These can be disruptive, especially at night.
  • Any goods for unauthorised trading or with unauthorised Event or artist logos.
  • Gas containers over the weight of 13kg.
